Prompting
is not the skill.
Setup is.

Gemini is in the side panel of every app you open, one click from your entire Drive. You're still pasting the file in by hand. Every fix below is already in your Workspace edition.

## stop

Three prompts that guarantee a mediocre answer.

"Write me a doc about our AI strategy."

No context.You gave it nothing, so you got the statistical average of the internet. Everyone else got it too.

"Act as a world-class strategy consultant with 20 years of experience who studied under..."

Role-play is not context.It still has no idea who you are, what you ship, or what you'd reject. A costume is not a brief.

"Make it punchier."→ "No, more professional."→ "Try a different tone."

You can't describe what you want.So it keeps guessing. Twelve rewrites later you are back at draft one.

## side panel + grounding

The daily driver. It's already open in the app you're in.

01The Ask Gemini spark button opens the side panel in Gmail, Docs, Sheets, Slides, and Drive. It reads the file you already have open.

02Gemini is included in Business and Enterprise editions. There is no add-on to buy. If the side panel is missing, that's an admin switch, not a paywall.

03In the side panel, @ mention a file or folder from your Drive to ground the answer on it. Stop pasting content Gemini can open itself.

04Help Me Write drafts in Gmail and Docs from a one-line brief. Refine it in place instead of starting a fresh chat.

05In Meet, let Gemini take the notes. "Take notes for me" captures the meeting so you are not transcribing while you talk.

## gems

The reusable expert. Build it once, call it everywhere.

06A Gem is a saved expert for a repeating job: its own instructions, voice, and knowledge. Build one at gemini.google.com/gems/create.

07Gems now live in the Workspace side panel, not just the Gemini app. Same Gem, wherever you're working.

08Give a Gem files and folders as knowledge so it answers from your material, not the public average.

09Write the Gem's instructions like a job spec: what it's for, your format, and what to reject.

## notebooks

When the sources outnumber what one chat can hold.

10For research across many sources, use a Gemini Notebook (NotebookLM). It grounds strictly on the sources you add and cites them back to you.

11Keep exactly one prompting trick: "Don't start yet. Ask me questions until you can't get this wrong."

## red flags

Signs you're still working like it's 2025. No particular order.

!Your prompt opens with "Act as a world-class..."

!You paste a doc into the chat that Gemini could read from Drive.

!You went looking for a paid Gemini upgrade. It's already in your edition.

!You rebuild the same instructions every session instead of saving a Gem.

!Your Gem has no knowledge files, so it answers from the public average.

!You copy a whole email thread in by hand instead of @ mentioning it.

!You take meeting notes by hand while Gemini sits in the same call.

!You do multi-source research in one chat instead of a Notebook.

!The side panel is missing and you assumed it costs extra.

!You copy prompts off LinkedIn. They are not your voice.

!You re-explain your team's context every single time.

!You ask about a Drive file Gemini was never pointed at.

What your edition already includes, and what nobody tells you Google folded Gemini into Business and Enterprise Workspace, and the old Gemini add-ons are gone. If someone is selling you a Gemini upgrade for Workspace, check your edition first: the side panel, Gems, and NotebookLM are likely already on, or one admin toggle away. Check model names before you repeat them, too: Google ships Gemini 3.1 Pro as the flagship and Gemini 3.6 Flash for everyday work.
