Copilot is sitting on your whole company and reading none of it, because you left it in Web mode and briefed it by hand. Every fix below is in the seat you already pay for.

## stop

Three prompts that guarantee a mediocre answer.

"Write me an email to the team about AI."

No context.You gave it nothing, so you got the statistical average of the internet. Everyone else got it too.

"Act as a world-class management consultant with 20 years of experience who studied under..."

Role-play is not context.It still has no idea who you are, what you ship, or what you'd reject. A costume is not a brief.

"Make it punchier."→ "No, more professional."→ "Try a different tone."

You can't describe what you want.So it keeps guessing. Twelve rewrites later you are back at draft one.

## chat + grounding

The daily driver. This is where the seat earns its price.

01The Work / Web toggle sits at the top of Copilot Chat. Work grounds on your Microsoft Graph: your mail, files, chats, meetings. Web only sees the public web.

02Work grounding is what the paid seat buys. The free Copilot Chat that ships with Microsoft 365 reads the web plus what you paste, nothing more. Confirm you're on the Premium build, not Basic.

03In Work mode, name the file, thread, or meeting and let it read the source. Work IQ already pulls your recent mail, calendar, and meetings into context.

04Turn on the connectors your team lives in. Copilot connectors reach Confluence, ServiceNow, and more, under your own permissions. Your admin enables them in the Microsoft 365 admin center.

05Copilot is inside Word, Excel, PowerPoint, Outlook, and Teams on the licensed seat. Draft, summarize, and rewrite where the work already is, not in a separate tab.

06Turn a good answer into a Copilot Page. Edit in page at the bottom of a Work-mode response opens a shared canvas your team can build on.

## notebooks

The container for a recurring job. Not another chat thread.

07A Copilot Notebook holds the files, links, and notes for one job. Every prompt inside it is grounded on exactly that set, and nothing else.

08From a Notebook, Quick Create turns your gathered content into a Word doc, an Excel sheet, a PowerPoint, or a mind map. The source is your material, not the open web.

09Generated files inherit the sensitivity label of their sources. Check the label before you share the output outside the group.

## agents

When a job repeats, build one. This is the reusable part.

!You re-gather the same files into every chat instead of a Notebook.

!Ten people built the same agent because nobody published one.

!You wrote a 400-word prompt for a job that should be an agent.

!Connectors are off, so it can't reach the wiki you're asking about.

!Your agent has a vague description and keeps grabbing the wrong doc.

!You copy prompts off LinkedIn. They are not your voice.

!You re-explain your team's context every single session.

!You're about to buy more seats to fix a toggle you left on Web.

What the license actually buys, and what nobody tells you The free Copilot Chat that comes with Microsoft 365 reads the web and what you paste. The paid Microsoft 365 Copilot seat is what grounds on your work data through Microsoft Graph and puts Copilot inside Word, Excel, PowerPoint, Outlook, and Teams. If the toggle says Web, none of that is on.
